Project in Gaziantep, Diyarbakır or Mardin: working with a regional company

Project in Gaziantep, Diyarbakır or Mardin: working with a regional company

Short answer

A project run with a low-voltage company in another province goes smoothly largely depending on how clearly the work is defined. If you set a remote preliminary survey with photos and plans, then a site survey, a written scope and acceptance criteria, a single responsible contact, and a service plan that says who does what when a fault occurs, a project in Gaziantep, Diyarbakır, Mardin, Adıyaman, Batman or Siirt can run comfortably with a regional company. Also put spare parts, remote support and periodic maintenance visits in writing before installation.

Will working with a company from another province cause problems?

Not if the scope and service plan are written down from the start. Most problems come from uncertainty: if it is not clear who will pull which cable, which device will be bought from whom, and whom to call first when a fault occurs, a nearby company and a faraway company cause the same trouble.

The questions to ask a company for a school building, a factory or a housing estate are clear: has it done this kind of work before, where and how does it obtain parts for the brands it installs, and how much of the faults can it solve through remote access? The answers are read from the written quote and from reference projects.

What information should be sent for the remote preliminary survey?

Well-prepared photos and plans turn the first conversation from guesswork into concrete preliminary work. With this information, the company can work out in advance the approximate device list, the cable route and what to look at during the site survey. Clear photos taken with a phone are often enough; what matters is showing what is where.

  • The floor plan or the architectural project you have; if not, a hand-drawn sketch
  • A photo and the dimensions of the place intended for the cabinet or system room
  • Photos of the facades, entrances and parking points where cameras are planned
  • Photos of suspended ceilings, cable trays and shaft crossings
  • Photos of the labels of existing devices (brand, model)
  • The type of internet line and the location of the modem
  • A photo of the electrical panel and the free fuse slots
  • The building’s working hours and the time window in which the work can be done

Expert note: Send the photos not at random but numbered on the sketch. A note such as “photo number 3, view from the back door toward the parking lot” saves you from having to describe the same place later.

Why is a site survey still needed?

A remote preliminary survey narrows the scope but does not replace a site survey. The space inside the suspended ceiling, whether a cable can pass through the wall, the floor where the cabinet will sit, the night lighting in the area a camera will see, and the distance between buildings can only be seen on site. Price and time also change most with these details.

On survey day, having a person who knows the building with the team speeds things up. Have the keys to the technical room, roof, shaft and locked areas ready. After the survey, ask the company for a short survey note that writes down what they saw and what they recommend. The quote is built on this note.

On a project outside your province, the team stays on site for several days. Getting the material to the site before the team, and planning the working hours and locked areas in advance, keeps installation days from being spent waiting. In schools and public buildings, noisy work such as cable pulling is usually timed for the mid-year or summer break.

What should be in the written scope?

The scope should describe the finished state of the work. A sentence like “a camera system will be installed” does not say what will be checked at handover. The quote and contract should state the brand and model of the devices, their quantities, the cable type, who will do which construction work (holes, channels, paint, opening the ceiling) and where the electrical supply will be taken from.

The handover documents are also part of the scope. At the end of installation, the delivery of drawings showing the cable routes, the list of devices and IP addresses, the administrator passwords, user training and the product documents should be in writing. At acceptance, the day and night image of each camera, the test of every alarm and fire detector, and a check of the recording duration are done together and entered in the report. We covered these items in detail in our article on comparing quotes.

Why does a single point of contact matter?

In out-of-province projects, if part of the work is left to a local electrician, part to the team at the center and part to the device seller, responsibility gets scattered. There must be one person who answers the question of whether it is the cable, the settings or the device when the image does not come through. Write the name of the project manager and how to reach them in the contract.

On your side too, appoint a single responsible person and make sure this person does not change from survey to handover. If the school administration, the IT unit and the purchasing unit each give separate instructions, the team ends up caught between conflicting requests on site.

What happens when there is a fault?

Divide faults into three groups and write down in advance who does what for each. A significant part of jobs such as settings, passwords, adding users, searching recordings and software updates can be solved with a remote connection. For this, a secure remote access path to the recorder or the network is prepared at installation, and who may use this access is written down.

Hardware jobs such as a broken cable, a burnt adapter or a faulty disk require coming to the site. Here spare parts are decisive. In critical systems, keeping a spare camera, a spare disk and an adapter on site prevents the system from running half-working while the part is on its way. The company being an authorized dealer of the brands it installs also makes it easier for the part to arrive through the official channel and in the same model.

The third group is jobs fixed with a simple on-site action: a tripped fuse, a restarted modem, an unplugged switch. Showing the responsible person at your organization these checks at installation makes it unnecessary for the team to travel for a small problem.

How is a maintenance plan made?

The frequency of periodic maintenance visits and the work to be done at each visit are written in the contract. For fire alarm systems, testing and maintenance are also done at the intervals required by regulation and by the manufacturer; on the camera and network side as well, lens cleaning, disk health, battery and UPS checks and software updates are regular tasks. Ask for a short report after each visit that states what was done.

Desa Bilişim is based in Şanlıurfa; it carries out camera, network, fire and burglar alarm projects across Southeastern Anatolia and, when needed, in other provinces of Türkiye. You can send your photos and plans for the preliminary survey, and you can connect through the remote support page.

Frequently asked

Does the company have to come in person for the survey?

For a realistic quote, yes in most projects. A preliminary survey with photos and plans produces the scope and an approximate device list; the cable route, the space above the ceiling and the cabinet location are only seen on site.

Which problems can be solved with remote support?

Settings changes, password and user operations, searching and exporting recordings, and software updates are usually done remotely. Hardware faults such as cable, adapter, disk and device replacement need intervention on site.

Can a local electrician do part of the installation?

Yes, but who does which job must be in writing. If the local team will pull the cables and the project company will mount and configure the devices, the cable type, labeling and test method are decided in advance; otherwise responsibility becomes unclear when a fault occurs.
