Short answer
Compare security system quotes line by line. Besides the number of cameras and the resolution, lens, night vision, recording period and disk capacity, cabling and labor, uninterruptible power, post-installation support and handover documents vary from quote to quote. Giving the same needs note to all companies makes comparison possible.
First ask everyone the same question
When quotes come in different, the reason is often that each company understood the need differently. One proposes a plate-reading camera for the entrance, another a general camera. One calculates fifteen days of recording, another five.
Before asking for quotes, write a short needs note: which areas will be watched, how long recordings will be kept, who will watch from where. Give the note to all companies and ask for line-by-line prices. After that you can compare the 12 items below one by one.
Getting quotes from companies that have seen the site also makes comparison easier. A quote prepared by phone or from a few photos estimates the cable distance and installation difficulty. The quote of a company that has seen the site has fewer surprises; even so, ask for the assumptions to be written in the quote.
Camera and recording side: first 6 items
These items are the technical core of the quote. Small differences between them decide whether the recorded footage will be useful.
For example, an entrance camera with a 2.8 mm lens sees the door and the area in front of it widely but cannot read the plate of a vehicle ten meters away. If you want to read plates, you need a narrow-angle or motorized-lens camera and the right mounting height. If a quote makes this distinction, the company has understood your need.
- 1. Number and positions of cameras: does each camera match an area in the needs note?
- 2. Resolution and lens: a 2.8 mm lens sees a wide area but cannot make out a distant face; are different lenses proposed for the door and the distant area?
- 3. Night vision: are the infrared distance, color night vision or extra lighting specified?
- 4. Outdoor durability: are the dust and water protection class and an operating temperature suitable for a Şanlıurfa summer stated?
- 5. Recorder: does the channel count leave room to add cameras later?
- 6. Disk and recording period: does the proposed disk capacity meet the requested number of days, and is the calculation written down?
Expert note: Ask about disk capacity together with the recording period. A quote with a smaller disk looks cheap, but the device deletes old recordings sooner.
Infrastructure and labor: next 3 items
Big differences between quotes often show up in the work that connects the devices to each other.
If the cabling item appears in the quote as a single line, "cable and consumables", ask how many meters and which category of cable will be used. Cable that is not sun-resistant outdoors can crack in a few seasons in a Şanlıurfa summer. PoE switch supplies power to the cameras over the data cable; if the switch's power budget is not enough for the number of cameras, some cameras may restart when infrared turns on at night.
- 7. Cabling: are the cable type and length, conduit and pipe, and outdoor protection stated in the quote?
- 8. Network equipment and cabinet: are the PoE switch, cabinet and labeling included?
- 9. Power: is an uninterruptible power supply proposed for the recorder and cameras in a power outage?
- Camera positions match the need
- Lens chosen for the area
- Night vision method is written down
- Disk meets the recording period
- Cabling and conduit included
- Uninterruptible power supply included
- Support and maintenance scope is clear
- Product channel and warranty are clear
- Handover documents are listed
Handover and afterward: last 3 items
What happens after installation is finished is the topic least discussed at the quote stage. Yet problems come up most here.
When discussing support scope, give a concrete scenario: "On a Monday morning the recorder will not turn on; what happens?" The company's answer shows whom you would call, whether they can connect remotely, when they can come to the site, and whether there is a spare device. Have this answer added to the quote file in writing.
In the warranty item, ask about the product warranty and the installation labor separately. A camera fault and a loose connector are different problems and are the responsibility of different people.
- 10. Post-installation support: where are faults reported, is there remote support, what is the maintenance scope?
- 11. Product warranty and channel: who provides the warranty, do the products come through an official channel?
- 12. Handover documents: are the camera placement plan, device list, user and password record, and usage training included?
How should you read the price difference?
Once you put all the items in a table, you see where the price difference comes from. If a quote leaves out the cabling with "existing infrastructure will be used", an extra bill appears when it turns out on site that the infrastructure does not work. If another says it covers the same area with fewer cameras, ask on the plan whether there are blind spots.
Price ranking alone should not be the deciding measure. Make the decision based on whether every item in the needs note is met. Ask the company in writing about any missing item and add the answer to the quote file.
Do the comparison in a table: write the 12 items in the rows and the companies in the columns. Empty cells show the questions you will ask the company. When you present the table to the board or the management, the reason for the decision emerges by itself.
Additional notes for institutions
A similar discipline helps housing estate managements. When you present quotes to the board, attach the comparison table and write in which items the chosen quote stood out. This table also becomes a reference document when you expand the system in later years.
If you are a public institution or a school, the method of collecting and comparing quotes depends on procurement regulations. A line-by-line quote and a written needs note make both the comparison and the documentation of the file easier.
Desa Bilişim prepares its quotes line by line and adds the recording-period calculation to the quote. To check your own calculation, you can also use the disk and camera distance tools.
Expert note: For the quote-collection method and contract terms in an institutional purchase, consult your institution's legal department or someone who specializes in procurement regulations.
Frequently asked
Why can there be big price differences between quotes?
The difference most often comes from the cabling, disk capacity, uninterruptible power supply and labor items. When you ask for quotes line by line, you see which item was left out.
Is a turnkey quote with a single total price acceptable?
It is acceptable, but it makes comparison harder. Ask for a scope list and a recording-period calculation to be added under the turnkey quote.
Can I calculate the recording period myself?
An approximate calculation can be made from the number of cameras, resolution, compression and motion-recording setting. The disk calculator on our site gives an idea; the exact value depends on the settings at installation.
